Rooms division is an important aspect of hospitality operations. Rooms division is made up of the following
departments: front office, communications, reservations, guest services, concierge, and housekeeping. It can be considered the lifeline of hotel operations. As the economic centre of the hotel, the rooms division is responsible for most, or all, of the property’s revenue. It also functions as the customer service centre. The rooms division has the most guest contacts. It represents the customer’s first and last impressions of the hotel. As the department forecasting centre, the rooms division department plays a major role in business sustenance. Accurate knowledge of upcoming business is critical to adequate scheduling. This is the primary responsibility of the Reservations Department. The number of reservations affects every department: housekeeping, food and beverage, banquets, etc.

The structure of the room division can be summarised as follows.

There are managers assigned to each division, and the dispersion of responsibility amongst them ensures efficient functioning of the hotel.

In the management of furniture, fittings and furnishings in a hotel, the rooms division department plays a crucial role. Maintaining the quality and standards of the aforementioned is paramount. In order to achieve highly efficient and rewarding front office processes, one needs to develop customer focus.
Customer focus is literally focusing on the customer. It includes considering them while making decisions, policies and training the staff. The tourism and hospitality industry is largely a Customer-focused industry as all establishments related to the tourism and hospitality trade seek to offer the guest a better experience. Customer satisfaction depends on the expectations the customers have and the hotel’s ability to exceed these expectations.

All hotels and other establishments that provide accommodation to visitors must give the guests correct and useful information. Most hotels provide details of their policies regarding items such as Check-In/Check-Out times, Cancellations, Payment methods, pets, parking, etc. Making the customer’s stay more enjoyable and interesting, most high-end hotels offer VIP services to selected customers, and some of the programmes include Hyatt Courtesy Card, Starwood Ambassador and Marriott Platinum Premier programs.
