Report writing is the most intricate form of written communication and requires a high degree of skill. It is important to ensure that your reports are effective in imparting the information you wish to impart.
Before putting pen to paper, you should consider the following:
It is usually best to make your analysis objective. It is sometimes necessary to make subjective judgements, if so, you should make sure that you clearly indicate where this is the case. For example, you might use informal interviews to gain information; this is a valid method of data collection. However, when you come to interpret what has been said, you should indicate that your conclusions are inevitably subject to your own values and beliefs.
Each individual has his or her own writing style. Style can include the way sentences are structured and the phraseology used. Some writing styles are more effective in reports than others. General points to remember about good report writing style include the following:
Reports are presented in a formal layout. Ensure that essential points are highlighted by the use of emboldening, Italics, type size, spacing or underlining. Section paragraphs should be numbered. This helps users to find specific sections and makes it easier for a group of people to discuss the contents. Sections should be clearly headed and the use of sub-section headings is recommended.
| Title page | Title/subject of report, author, recipient and date | The title should be descriptive of the contents, not poetic or ambiguous |
| Contents
page |
List of contents with page and paragraph numbers | This must be clear and concise; the aim is to enable sections to be found quickly |
| Terms of
reference |
Purpose of the report and scope of the investigation made | Terms of reference will sometimes be given but on occasions, it is up to the writer to define limits. |
| Executive
summary |
Brief description of the key issues and/or recommendations | When you write this consider the needs of a busy executive who wishes to skim the main points before reading the full report. |
| Introduction | Background information | Only include that which is necessary in order to make sense of the rest. Begin to tell a story (though not in the poetic sense). |
| Main body | Concise analysis of the subject | Key words here are concise and analysis. Do not be descriptive or include redundant information. More detail can be included in the appendices. |
| Conclusion | Round up of key points at this stage | Do not introduce any new information. Reiterate the key points which lead onto recommendations. |
| Recommendations | If this is within the terms of reference, recommend changes, improvements etc. | All recommendations must be backed up by solid reasoning and evaluated for their feasibility, suitability and acceptability. |
| Appendices | Detailed information gathered and analysed in the process of writing the report | Appendices may contain financial analysis, tables and graphs. Used as supporting information should the reader wish to read them. They should only be included if they are essential reading. Do not upload lots of appendices for the sake of it. |
