An event flow chart serves as a visual representation of the sequential steps and decision points involved in the planning, coordination, and execution of an event. It provides a clear and structured overview of the entire process, enabling organisers to streamline various planning activities, anticipate and address potential challenges in advance, and ensure that all aspects of the event proceed in an orderly and efficient manner. By outlining each phase and decision in the event timeline, the flow chart supports effective communication among team members and contributes to the overall success of the event. For this assessment, the objective of teaching university students how to create an event flow chart is to help them plan and organise events more effectively. It allows them to break down the event into clear steps, make better decisions, and spot potential problems early. A flow chart also improves teamwork by giving everyone a clear view of their roles and responsibilities. Overall, it builds important skills that students can use in both academic activities and future careers. (CLO1)
Students need to complete this assessment in a group. Please be reminded that the format of this assessment is EVENT FLOW CHART. Please read the questions below until the end before asking any questions.
An event flow chart helps organise and visualise all the steps and decisions involved in planning and running an event. It makes the process clearer, helps identify potential problems early, ensures tasks are done in the right order, and improves coordination among team members. This leads to a smoother, more efficient event with fewer mistakes or last-minute issues.
Event flow charts are helpful for many types of events, especially those that have many steps or people involved. They are useful for academic events like seminars, corporate events like meetings, social events like weddings, public events like festivals, sports events like tournaments, and university club activities. Basically, any event that needs careful planning and coordination can benefit from using an event flow chart.
If an event flow chart is not prepared before the event, it can lead to confusion about roles, missed deadlines, and poor communication among team members. Without a clear plan, problems may go unnoticed until they become bigger issues, and resources like time and materials may be wasted. This can cause the event to run poorly, reduce the experience for participants, and increase stress for everyone involved. Overall, not having an event flow chart
makes it harder to organize and manage the event smoothly.
For this assessment, each group is to assume that they have been appointed by their organization to carry out an event focused on the theme of the circular economy. A circular economy is a way of using things that helps reduce waste. Instead of using something once and throwing it away, the goal is to reuse, repair, recycle, or remake it so it can be used again. This helps save resources, protect the environment, and reduce pollution. It is about making the most of what we already have, instead of always making new things.
Therefore, you are required to prepare a plan to discuss with the management to obtain their approval to proceed with the proposed event. For this discussion, your group has decided to include an event flow chart to help the management better understand your overall plan.
Before making an event flow chart, it is important to be well-prepared so that the chart accurately shows how the event will run. Students may refer to the following steps:
a) Start by clearly understanding the main purpose of the event and who the audience is, because this will guide how the event is planned.
b) Then, list all the important activities or steps needed for the event (from preparation and setup to the actual program and closing). Think about the order in which these steps should happen, so the event flows smoothly.
c) Next, assign tasks to the right team members so everyone knows their responsibilities.
d) You should also mark any decision points in the process, such as getting approvals or waiting for confirmation from others.
e) It is also useful to estimate how much time each activity will take and to gather helpful materials like schedules, checklists, or contact details.
You may refer to the sample event flow chart provided below for your reference. This is a simple version of the flow chart. Students may search the internet for more detailed, creative, and informative examples of event flow charts.
For the creation of this event flow chart, students are free to use any application that facilitates the process. Students may choose to use PowerPoint, Microsoft Word, Canva, or any other application with which they are comfortable. This flexibility is intended to encourage creativity and to make the process of developing the event flow chart more convenient for the students.
Upon completion of the event flow chart, students are required to save it in PDF format. When submitting, two separate attachments must be included:
(1) The cover page template, and (2) the completed event flow chart template.
